Coach Pen ("we", "us") is a writing-improvement service. This policy explains what we collect, why, and the choices you have. We designed Coach Pen to need as little personal information as possible to do its job — coaching your writing.
1. What we collect
- Account information — your email address and authentication details, so you can sign in and we can save your progress.
- Your writing — the text you submit for marking and coaching, along with the prompts and the feedback generated for it.
- Learning progress — which techniques you've practised, scores, streaks, and certificates, so the app can pick up where you left off and recommend what to do next.
- Basic usage data — limited technical information (e.g. device and error logs) needed to keep the service working and secure.
2. How we use it
We use your information only to run and improve the service:
- To mark your writing and generate coaching feedback.
- To save and display your progress, recommendations, and history.
- To operate, secure, and troubleshoot the service.
- To handle billing if you choose a paid plan.
3. AI processing of your writing
To generate feedback, the writing you submit is sent to our AI model provider for processing. We send the minimum needed to produce coaching and do not use your writing to train publicly available models. We never sell your writing, and we do not share it for advertising.
4. When we share information
We don't sell your personal information. We share it only with service providers who help us run Coach Pen — such as our hosting, database, AI model, and payment providers — and only as far as needed to provide their part of the service. We may also disclose information if required by law.
5. Children's privacy
Coach Pen is often used by school-aged students. Where a user is under the age required to consent in their region, an account should be set up and managed by a parent, guardian, or school, who agrees to this policy on the child's behalf. We collect a child's writing only to provide coaching, and a parent or guardian may review or request deletion of it at any time by contacting us.
6. Keeping and deleting your data
We keep your information while your account is active. You can delete your writing at any time, and you can ask us to delete your account and associated data — after which we remove it, except where we must retain limited records (for example, billing) to meet legal obligations.
7. Security
We use reasonable technical and organisational measures to protect your information. No online service can be perfectly secure, but we work to limit access to your data to what is necessary to operate Coach Pen.
8. Your choices and rights
Depending on where you live, you may have rights to access, correct, export, or delete your personal information, and to object to certain processing. To exercise these, contact us using the details below and we'll respond as required by law.
